Information for Current Scholarship Recipients

Mid- to Long-Term Scholarship Recipients

Recipients of the mid- to long-term scholarships are (1) required to submit official reports, and (2) encouraged to post on FUTI's Facebook page as a visitor or tag @friendsofutokyo on their post.


Be prepared during your study abroad


Please make sure to take photos in and out of the classroom/lab. Classroom settings, presentations, scenic photos, photos of social outings are all welcome.

Guidelines for the official reports


Number of reports/due dates

In general, you are required to write interim reports once in approximately three months, and the final report at the end of your study or at the end of the school year, whichever comes first. The final report should cover the entire study period including what might have already been covered by interim reports.

FUTI will give a courtesy reminder about the interim reports with the payment notifications which are generally once every three months, but please make an effort of reminding yourself to write the reports.

You are required to submit the final report within one month from the last day of your supported study period. In case the report cannot be submitted within this timeframe due to unexpected circumstances, please notify us and the deadline may be extended up to an additional month. The scholarship recipient forfeits the final payment of their scholarship if a report is not submitted by the deadline.


Acknowledgement

Should you decide to add acknowledgements in your reports and would like to express thanks for the scholarship, please take this opportunity to show gratitude to the scholarship fund provider (Ito Foundation U.S.A., Hsun Kwei & Aiko Takizawa Chou, or Friends of UTokyo, Inc.) and Friends of UTokyo, Inc. (the fund operator). Since the report will be read by both parties, acknowledgement of both organizations would be appreciated.


Length/file format

Each report should be about one or more pages single-spaced as a docx/doc file.


Report format

There is no set format and the reports can be written as a narrative or report in English or Japanese. In the report, be sure to describe your academic achievements and how the study abroad program helped you to accomplish these goals. To read examples please visit the recipient reports page.


Photos

Several photos embedded in the doc file, as an attachment, or shared via cloud (resolution of more than 1000px would be appreciated).

Include at least one picture of your study/research scene.


Where to submit

Please submit your report here. The password to access the form is the email address you used to apply for the scholarship.

*Please be advised that reports, especially the final one, and photos will be published on the FUTI website and may be used on FUTI publications. If you have any specific privacy requests, please let us know in advance.

Payment schedules will be presented to you and discussed as necessary. Scholarships for one or more semesters will be usually paid in four installments, in July, October, January and at the end of the academic year or at the end of your study abroad after FUTI receives your wrap-up report.

Payment method



FUTI will issue the payment via wire transfer.
  • Scholarship recipients will receive a link to fill out information for the wire transfer. You will be asked to provide:
    • Your mailing address as it appears on your bank account
    • Your phone number as it appears on your bank account
    • Name as it appears on your bank account
    • Bank name
    • Swift code
    • Bank account number
    • Bank account type (checking, savings, etc)
    • Branch name/number
    • Branch address
    • Branch phone number
    • Intermediary bank information, if applicable
    • Receipt of tuition payment or proof of acceptance to program (a screenshot of an email would suffice)
  • Wire transfers may incur a fee. Check with your bank.
It is strongly encouraged to provide information for YOUR OWN bank account. If under very special circumstances the funds must be sent to someone else instead of yourself (i.e. a relative) please indicate in the "Additional Information" field, their relationship to you and the reason they will be receiving the payment for you. It will be the scholarship recipient's responsibility to coordinate with the funds recipient to distribute the funds for its intended use.
  • Due to university administrative delays or mishaps, scholarship funds will not be sent directly to host universities.

Those who receive the scholarship are required to do the following:

1. As a recipient of this scholarship, proper conduct and suitable achievement will be expected.

2. The recipient is to periodically write reports during and after completion of the study abroad.

3. Attendance will be greatly encouraged to events organized for scholarship alumni, and other events where there is a chance to meet with other alumni and current recipients.

4. In the case that there is an interruption with the study due to an oversight of the recipient or unforeseen circumstances, the recipient is obligated to make a partial or full repayment of the scholarship received up to that point. The amount to be repaid will be determined by FUTI.

Short-Term Scholarship Recipients

Recipients of the FUTI Global Leadership Award are (1) required to submit an official report, and (2) encouraged to post on FUTI's Facebook page as a visitor or tag @friendsofutokyo on their post.
